1. Plan for an Inspection Pinpoint specific strengths and areas of concern using the ROUNDtable Assessment.
a) Why take the ROUNDtable Assessment? § Board/committee leadership must be stable within the community or state § Well intended service often wanders § Like annual doctor check-ups, discover problems before they become debilitating or ministry
b) How to take the ROUNDtable Assessment § It should be administered through the next higher office. § Once each member obtains his copy the directions should be carefully read and followed.
b) How to take the ROUNDtable Assessment § Each individual member should complete the assessment on his own and return it directly to the next higher office by a specified date.
c) What other information will be obtained? § A report from your director § Reports from your staff and/or outside individuals connected to the ministry (volunteers, churches, etc. ) § A report from your next higher
d) Discussing the Results § Decide on a date, in coordination with your next higher office, for a retreat to discuss the results and prayerfully consider plans in response to the report § Obtain a location for your retreat and inform all members, your director and the next higher
2. Plan to Retreat and Review a) Why a retreat? § Eliminate distractions § Ample time for relationship development
“Do two walk together unless they have agreed to do so? ” Amos 3: 3 § Ample time to seek wisdom through prayer § Profitable discussion and decision making
b) What to do at the retreat? § Pray, then more prayer § A representative from your next higher office will discuss the “ROUNDtable” Assessment report and its recommendations § Develop a plan, with dates, to actively engage in strengthening and building your board/committee
3. Plan for Goal-Focused Partnerships Most board/committee will discover through the “ROUNDtable” Assessment report the need for additional members with specific skills to enable them to become a strong effective leadership team.
a) Who are you looking for? • Business-minded individuals (at least a 60/40 mix) • Fills a role in one of the subcommittees (ministry, personnel, finance) • Diversity (race, gender, age, denominational affiliation, etc. )
b) How to find these specific individuals § Each board/committee member should make a list of individuals they know or are acquainted with in the community. § Begin asking these individuals from the list if they know anyone who is a believer and who has the specific skill sets.
§ Share the need for their particular skill set on the board/committee and ask them to prayerfully consider the position, § Pray daily for at least a few days before visiting personally for an answer. § If they agree, then proceed to share the expectations and responsibilities. Share how their skills will immediately be helpful.
Board/Committee Expectations and Responsibilities - Attend training within the first year and commit to a minimum of three years service. - Serve because they have specific skills and business expertise. - Come to all meetings and
- Give of their valuable time (1015 hours a month/more if retired). - Share their talents. - Set the example by giving financially. - People who will be a strategist; visionary or idea person.
- Not involve themselves in ministry details. - Evaluate and help solve problems. - Ambassador for the ministry. - Make an effort to recommend a replacement when their term is up. - Responsible for management, mission, relationship and finances.
c) Helping them become a member § Complete board/committee questionnaire with personal testimony § Present to full board/committee for consideration § Present to next higher office for approval
§ Provide copies of USA Organizational Manual and your area’s Operation Manual (if you have one). § Assign to a subcommittee (ministry, personnel, finance) based on their skills. § Schedule them to complete training within the first year.
4. Reorganize and Rebuild a) Be sure everyone is on the same page functionally with training. § All members should read the Ministry Builders Guidebook. § New members should take “Core 6” training within one year of approval of membership.
§ All staff should take “The Connection” training immediately if they have not already done so. § Existing members should consider taking additional training every three years as a refresher.
b) Be sure everyone is on the same page with an annual ministry retreat. § Review your last “ROUNDtable” Assessment to consider your board/committee progress. A new assessment should be provided by your next higher office every three years. § Make additional board/committee functionality plans and accountability actions if needed.
§ Discuss your director’s vision for the ministry over the next year and three years. § Discuss the budget needs to fulfill the ministry vision. § Consider other factors that may be needed such as additional staff, office space, etc. § Make detailed plans (including dates) for obtaining the needed funds to
c) Be sure everyone is on the same page monthly with preparation. § All subcommittees should meet before monthly board/committee meetings and submit a report to the secretary for distribution before the meeting for consideration. § Monthly budgets, director’s reports and an agenda should be decided and distributed in advance of monthly board/committee meetings.
§ Copies of all reports and the administrative support should be sent to the next higher office monthly. § Contact your next higher office with any concerns for support and guidance.
