Clinic Staff Group Practice Receptionist Responsibilities: • Answer incoming calls – new and existing patients • Create new patient charts in axi. Um • Schedule registration and screening appointments • Appointment cancellations • Process Easy. Markit confirmation system and notify students • Refer patient complaints to Group Practice Coordinator/Leaders • Direct patient to appropriate clinic/department • Update patient demographic information • Process patient record release • Schedule and coordinate Denture Block
Clinic Staff Group Practice Coordinators Responsibilities: • Maintain student schedule – assign block rotations and clinic schedule • Review appointment request and convert appointments • Appointment cancellations and reschedule • Monitor wait list and manage ER walk-ins • Handle patient complaints • Update patient demographic information • Scanning of patient documents into axi. Um – med consult, labs etc • Record student attendance • Attend daily huddle and participate in quarterly interviews and grading • Process patient transfer, inactivation and Beyond the Scope • Student orientation to clinic, axi. Um and patient management training • Manage and coordinate students & patients after blood borne pathogen exposures
Clinic Staff Patient Care Coordinator Responsibilities: • Discuss financial cost with patients regarding their dental treatment and provide financial clearance for Main Clinic – Approve financial plans/treatment by removing P* – Verify eligibility and plan benefits for all Private and Government (Medi-Cal) insured policy. – Estimate and explain to patients their out of pocket cost based on insurance plan benefits and limitations – Discuss payment plans with the patient as needed – Ensure that all necessary form, documentation and x-rays meet Denti-Cal guidelines prior to approving treatment – Submit pre-determinations request for insurance – Respond to patient's inquiry/dispute regarding their account – Assist students with all financial chart locks and billing issues • Dispense CAMBRA products • CARE backup for financial approval
Clinic Staff CARE Intake Coordinator Responsibilities: • Ensure client’s meet the Department of Public Health CARE eligibility requirements • Interview and explain to new patients the CARE Program policy and benefits • Reassess client eligibility every six months after initial intake • Approve patient treatment plans; determine services covered by CARE funds and outlined in the CARE contract. – Currently, this task is being completed by the Patient Care Coordinator • Assist students/patients with the CARE Program • Address patient concerns, accept grievances and follow through to resolution. • Coordinate outreach programs with community based organizations to recruit patients
