What is a Personal Business Letter? § A letter from an individual to a business.
Block Format § All parts of the letter begins at the left margin. § Margins—same as memos. § Top Margin is 2” on the first page. § One inch on the second and subsequent pages § Page Ending no more than 1”
Basic Parts of Letters § Return address—consists of a line for the street address and one for the city, state and ZIP Code. § Date—Key the month, day, and year on the line below the Return address. After the date press the enter key four times (quadruple space)
Basic Parts of Letters § Inside address—Key the first line of the letter address a QS below the Date. A personal title(Ms. , Mrs. ) or a professional title (Dr. , Lt. , Senator) is typically used before the receiver’s name.
Basic Parts of Letters § Salutation-- “greeting” DS below the letter address § Body—Begin the body a DS below the Salutation. Single space and block the paragraphs with a DS between them. § Complimentary Close– “farewell”, key DS below the last line of the body.
Basic Parts of Letters § Name of writer—Key the name of the writer a QS below the Complimentary close.
Special Parts of Letters § Attention Line—if the letter is addressed to a company, the address may include an attention line(the first line of the address) to call the letter to the attention of a department or a job title. § Subject line—used to alert the reader immediately to the content of a letter. § Key in ALL CAPS
Special Parts of Letters § Reference initials—if someone other than the originator of the letter keys it, the operator’s initials are keyed at the lower left corner, DS below the writer’s name, title, or department. § Attachment/Enclosure notation—If another document is attached or enclosed you must key the word Attachment or Enclosure a DS below the writer’s name.
