Background Screening Clearinghouse Helpful Tips Barbara Palmer APD Director
o If an applicant’s prints are rejected once, they are able to return to the vendor for rescreening (vendor fees may be charged but no screening fees) o If an applicant’s prints are rejected twice, a name search is sent to the FBI (this could take 30 -45 days to complete) o Make sure your email is correct on your portal account; determinations, notification of arrests, etc. , are sent by email
o When entering an applicant profile, accurate mailing, email address and phone number may reduce potential screening delays in the event the Department needs additional information from the applicant o Always print the Livescan Request Form to send with your applicant. This form contains important information o If an applicant is currently eligible for APD CDC with no lapse in employment from a position that requires a Level II screening, the new ‘Provider’ only needs to add to their roster
o If your applicant’s information (SSN, last name, DOB) is incorrect on the profile page, contact the DCF Helpdesk (1 -888352 -2849) o Check notification emails from the Clearinghouse immediately, you could be receiving Arrest Alerts o There are very few exceptions to being exempt from APD Level II screening; contact your Regional Liaison prior to working if you have questions
o You must confirm the Privacy Policy to view determination status o The Retained Prints Expiration Date is the date an applicant’s retained prints expire; the current employer will get an email notification close to rescreening date o Under Florida law, an applicant must have a resubmission if they have a period of unemployment for more than 90 days from a position that requires a Level II screening; your responsibility to make this determination by Employment history in Clearinghouse or their resume
435. 07 F. S. Exemptions from Disqualification o Some applicants found not eligible may apply for an exemption but are not allowed to provide services/care until they complete the process and are granted an exemption o Exemptions granted by one Agency shall be considered by other Agencies but are NOT binding on the subsequent Agency o Each Agency requires an applicant to complete their exemption process: AHCA, Medicaid, DCF, APD o APD exemptions are collected by DCF, then forwarded to APD State Office for processing; this process can take several weeks to months
APD Exemption Letters The Clearinghouse will reflect eligible if the exemption is granted; APD providers do not receive letters in the mail since APD joined the Clearinghouse. Letters are only mailed to the applicants
