What to look for in Alma ■ Electronic collections are assigned tag Originating system ID CZ_INST ■ Electronic portfolios are assigned tag Originating system ID NONSFX ■ Check that titles migrated with correct number of portfolios – Different vendors, different schedules… ■ Check material types ■ Verify services ■ Check access in Primo*
Case Study - Early American Imprints ■ Shows up on report as Hidden – meaning a deprecated 360 KB collection ■ This appears to be a zero-title database (no portfolios) ■ Search in Alma IZ and CZ – IZ shows a match on the Supplement II – an untracked 360 KB collection ■ How did this match? – CZ shows several ■ Fix: identify the correct CZ record to activate (Readex v Newsbank) – Activate or Order in Alma – Eh, we just cancelled it so I won’t lose any sleep…

Case study – Early English Books Online • Linked to CZ • Selective package – appears to be a composite package • Five 360 KB collections mapped into 1 Alma collection. • No portfolios have ID’s – can search by title, but not View in Discovery • Fix: review entitlements with vendor – select correct CZ package
Use Container CZ collections ■ Unmatched collections ■ EEBO is an example - the 5 separate 360 KB collections are not represented in Alma but a composite collection (EEBO: Early English books online) exists ■ Science. Direct* - we only subscribe to a subset of Science. Direct journals that aren’t part of a defined package (GAP). – Use the broad package and make it selective – 360 KB file format woes *Search ‘Science direct’ in CZ
Titles without identifiers ■ Titles in selective collections (not all titles are subscribed) missing identifiers (ISSN or ISBN) are not loaded ■ The collection will be activated, but titles with missing identifiers will not be present and must be added manually – Except EEBO – why did they get loaded? ■ How did this happen? – Anything published before ISBN/ISSN were in use ■ Fix – – Activate the entire collection, then remove the titles you don’t have rights to access
Titles from non-matched databases ■ This is the list of portfolios that did not load because they were in the set of nonmatched databases – Missed / GAP / Hidden / Local ■ Fix: depends on the problem – GAP collections don’t exist – Local collections probably should not be migrated – Hidden collections are deprecated and should be updated
Proxy fixes ■ Make sure your proxy is enabled for non-free collections ■ Electronic collection > proxy enabled = No > Free (service) = not free ■ Fix: manually turn on proxy
Create Local Electronic Collection ■ You create and activate local electronic collections from Community Zone records if your resources exist in the Community Zone, or directly from vendor resources if you obtain your resources from a publisher or publisher aggregator or agent. ■ Resources > Create Inventory > Add Local Electronic Collection ■ Less desirable than linked CZ collections as they are not maintained by the CZ ■ Use the Excel bulk loader template ■ Limit of 5000 records* * Is that true?
