ALICE Upgrade Construction management system Need for an application to manage the workflow of the detector construction. Specifications have been defined by taking the ALICE ITS Upgrade as example but keeping them general enough to apply to the other ALICE Upgrade projects. 6 modules by project: 1. Resource management: project members, expertise, work percentage, institutes, etc. 2. Project definition and planning: tasks and milestones. 3. Construction workflow: components (types and parent-child relationship) and activities. 4. Suppliers. 5. Finances: contributions, invoices, orders. 6. Reporting. ALICE | MFT Plenary | 9 July 2015 2

ALICE Upgrade Construction management system Price enquiry launched at the beginning of 2015. Contract with KYBERNETIKA (Košice, Slovakia) for the development of the ALICE Upgrade Construction management system. The preliminary documentation is in preparation and will be distributed at the next weeks. The first prototype should be ready by the end of July 2015. After delivery of the first prototype, a demonstration session will be organised (confirmation will be sent). ALICE Upgrade Construction management system Resource management module Members details such as: - Personal information (first name, last name, email, telephone number) - Affiliation are taken by ALICE GLANCE. The project leaders will add the members and institutes of their projects and define the availability of the person in term of %FTE. They will also define the members’ qualifications in order to allocate resources. PLs will be able to define management functions and associate them to the members of their projects. ALICE Upgrade Construction management system Construction workflow Designed to monitor the production of items or individual components and their quality. Every item will belong to a specific type. The list of all possible types of monitored items and components will be defined in the system. Examples of component types are: Pixel Chip, Flexible Printed Circuit, Test Board, Inner Barrel Stave, Outer Layer Stave and other types of components needed for the project realization. ALICE Upgrade Construction management system Construction workflow A component is a physical item with a unique identifier (component ID). Conversely, raw material is used for physical items that do not have a unique identifier. Component types might be related via a parent–child relationship. A parent-child relationship between two components is used to define either that a component (child) originates from another component, or that a component (child) is part of a more complex composite component (parent). For example, the component CMOS Wafer undergoes an activity, thinning and dicing, which will cut the CMOS wafer into a number of samples of a new component type named pixel chip. ALICE Upgrade Construction management system Project definition and planning The project schedule is made of milestones and tasks. Tasks and milestones belong to work packages. PLs will define the manpower and qualification needed for each task. PLs will associate people to tasks and define the allocated time. At any time, PLs will be able to verify the status of the tasks. PLs will be able to create/modify the Project Plan. The system will generate automatic messages (e-mail) if: • A due Milestone was not checked by the Task Leader. • A Milestone was checked by the Task Leader but not achieved. • A Task has insufficient manpower. ALICE Upgrade Construction management system Conclusions A new system for managing the ALICE upgrade projects is under development. The preliminary documentation will be distributed to PLs in the next weeks. A first prototype will be presented in a dedicated meeting. Feedback from PLs is expected.
