ALEPH ILL v. 18 – ILL 2
ALEPH ILL – Version 18 In ALEPH version 18, the Interlibrary Loan interface will become one of the ALEPH modules, similar to Circulation, Cataloging, etc. It will be accessed via the Start menu by selecting ALEPH 500 | ILL 2, or when in another module, selecting the icon.
ALEPH ILL – Version 18 The ILL Client contains a connection bar, menu bar, Borrowing bar, and Lending bar. Connection Bar Menu Bar Borrowing Bar Lending Bar
ALEPH ILL – Menu Bar You will notice on the ILL Menu bar that the Connection Library is XXX 40.
ALEPH ILL – Borrowing Bar On the Borrowing bar, you can search for borrowing requests using an index from the drop-down menu and inputting the criteria in the text box. Not all search options are currently available, however the ODIN office is working to add options. Additionally, blank serial ( and work as short-cut icons to open a ) and non-serial ( )request.
ALEPH ILL – Lending Bar On the Lending bar, you can search for lending requests using an index from the drop-down menu and inputting the criteria in the text box. ALEPH ILL – Navigation Pane The Navigation Pane contains four tabs – Borrowing ( ), Lending ( ), Administration ( ) and Searching ( ). The tab that is selected will dictate which type of ILL activities are permitted.
ALEPH ILL Navigation Pane The Borrowing and Lending tabs of the Navigation pane contain two view – the functional view and summary view. The summary view allows you to group particular requests by a certain filter.
ALEPH ILL Navigation Pane The functional view presents a list of requests and gives options for working with the requests on the right side of the screen.
ALEPH ILL Upper/Lower Panes The upper pane lists the requests of a particular category, while the lower pane contains the details of the request that is highlighted in the upper pane.
ALEPH ILL Status Bar The left portion of the status bar indicates connectivity with the server. A green diamond signifies that a connection is made. The right portion of the status bar gives options to navigate to other ALEPH modules, password functions ( ), and total shut-down capabilities ( ).

ALEPH ILL – Requesting an Item Patrons will be able to request ILL material from the OPAC as per usual. Staff members will request ILL material via the Search tab in the client.
ALEPH ILL – Requesting an Item In our example, we will conduct a search for the author Frank Grizzard in the ODN 01 catalog.
ALEPH ILL – Requesting an Item Once the item is found, click ‘ILL Request’ to initiate a request.
ALEPH ILL – Requesting an Item The system will prompt you to select if the request is a borrowing request or lending request. Borrowing is the default.

ALEPH ILL – Requesting an Item The left portion of the form should be filled out with necessary information. Required information includes the Patron ID and the Need by Date. Note: an button is available which will open the patron list.
ALEPH ILL – Requesting an Item Once the request is submitted, you are taken to the borrowing tab. Here, potential suppliers can be found by clicking the ‘Locate’ button.
ALEPH ILL – Requesting an Item In the lower pane, the Suppliers tab is highlighted. Here we can work with the supplier roster by adding, re-arranging or deleting a supplier from the list.
ALEPH ILL – Requesting an Item If the potential supplier list is satisfactory, click ‘Send’ in the upper pane to send the request to the first library on the list.
ALEPH ILL – Requesting an Item The status of the request is changed to ‘Sent to Supplier. ’
ALEPH ILL – Shipping an Item When viewing the lending tab, the ‘Review’ node in the Summary mode indicates there are 11 requests ready for Review. To view a list of the requests, click ‘Select. ’
ALEPH ILL – Shipping an Item Highlight the request and click ‘Locate’ on the right.
ALEPH ILL – Shipping an Item In the lower pane, the Items tab is highlighted after the locate, and information about the item appears.
ALEPH ILL – Shipping an Item The lending request can be printed from the upper pane.
ALEPH ILL – Shipping an Item Once the item is retrieved from the shelves, it can be shipped by clicking ‘Ship. ’ If it is unavailable or cannot be filled, click ‘Unfilled. ’
ALEPH ILL – Shipping an Item After clicking ‘Ship’ the system displays a dialog box to choose the type of item being shipped. Select the appropriate type and click ‘OK. ’
ALEPH ILL – Shipping an Item Once the ship form displays, fill it out as appropriate. At minimum, you must enter the item barcode and the expected return date. If you wish to have a supply slip printed, leave the check box clicked.
ALEPH ILL – Shipping an Item Once shipped, the request status changes, and the material can be sent to the borrowing library.
ALEPH ILL – Shipping in Bulk Version 18 ILL has a bulk shipping option. Highlight the ‘Ship Returnable’ option in the navigation pane, and enter the item’s barcode in the ‘Item Barcode’ field, the due date in the ‘Expected Return Date’ field, and the request number in the ‘Request Number’ field and click ‘Send. ’ Continue to enter requests until finished.
ALEPH ILL – Not Filling an Item If an item cannot be sent, click ‘Unfilled. ’ In the Unfilled dialog Box, select the reason from the drop-down list and click ‘OK. ’
ALEPH ILL – Not Filling in Bulk Version 18 ILL has a bulk unfilled option. Highlight the ‘Unfilled’ option in the navigation pane, select the reason, enter the request number in the ‘Request Number’ field, and click ‘Send. ’ Continue to enter requests until finished.
ALEPH ILL – Receiving an Item When items are received, the request can be retrieved by typing the request number in the borrowing bar in ILL.
ALEPH ILL – Receiving an Item With the request retrieved, click ‘Receive’ to receive the item.
ALEPH ILL – Receiving an Item A receive dialog box is displayed. Enter the ILL request number in the Item Barcode field, and complete any other fields that are necessary. Click ‘OK. ’
ALEPH ILL – Receiving an Item The request status changes to ‘Loaned to Library’ and the item is ready to be checked out to the requesting patron.
ALEPH ILL – Receiving in Bulk Version 18 ILL has a bulk receiving option. Highlight the ‘Receive Returnable’ option in the navigation pane, and enter the ILL request number in both the ‘Item Barcode’ field and ‘Request Number’ field and click ‘Send. ’ Continue to enter requests until finished.
ALEPH ILL – Returning an Item When items are returned, the request can be retrieved by typing the request number in the borrowing bar in ILL.
ALEPH ILL – Returning an Item With the request retrieved, click ‘Return’ to return the item.
ALEPH ILL – Returning an Item A return dialog box is presented. Click ‘OK’ to return the item.
ALEPH ILL – Returning an Item The status of the request is changed to ‘Returned by Library’ and the material can be sent back to the lending library.
ALEPH ILL – Returning an Item Version 18 ILL has a bulk returning option. Highlight the ‘Return’ option in the navigation pane, enter ILL request number and click ‘Send. ’ Continue to enter requests until finished.
ALEPH ILL – Closing an Item When items are returned to the lending library, the request can be retrieved by typing the request number in the lending bar in ILL.
ALEPH ILL – Closing an Item With the request retrieved, click ‘Check-In’ to close the record.
ALEPH ILL – Closing an Item A check-in dialog box is presented. Click ‘OK’ to close the record.
ALEPH ILL – Closing an Item The status of the request is changed to ‘Closed, ’ and the item is automatically checked-in in Circulation. Additionally, if the item is on hold, a pop-up box comes up indicating as such.
ALEPH ILL – Closing an Item Version 18 ILL has a bulk check-in option. Highlight the ‘Check-In’ option in the navigation pane, enter ILL request number and click ‘Send. ’ Continue to enter requests until finished.
