ADP E-Time Basic User Tutorial Manager Guide

ADP Portal: Logging In Ø Log in via the main ADP portal – In the Acelero Desktop, use the “EZ-Labor / e. Time” link from the menu – OR go directly to the ADP portal at https: //portal. adp. com/ and click “User login”
ADP E-Time: Logging In Ø From the home screen in the portal, click the “Enterprise ETime Gateway” Link in the “Welcome” text box. Ø You may have more than one E-Time gateway option listed (example: Java and HTML). Managers should use the Java version. Ø This will take you into the E-Time System!
Accessing Your Team’s Timesheets Ø To access your timesheet, click on the “Timekeeping” tab in the row of red tabs along the top of the screen. Ø Choose “Reconcile Timecards”
Accessing Your Team’s Timesheets Ø This is what you’ll see: Time period is specified here – remember to check that you’re looking at the right days! Any exceptions that have happened in the specified time period will be reflected here – late ins, early outs, etc. Select employees by clicking on the relevant rows in this window (to select more than one employee, hold down Control or Shift as you click on different rows). Once you have selected these employees, click on Timecard in the topleft corner to see their individual timesheets.
Working with Timesheets: Exceptions In Employee timecards, punches and time entry codes will appear as they have been entered. Exceptions (late ins, early outs, missed punches, etc. ) will be flagged with red outlines, PTO or other non-regular pay codes will be flagged with blue outlines.
Working With Timesheets - Basics As a manager, you have the ability to fix missed punches or time transfers: • Click on the relevant date and punch cell – change the time on a punch if needed (example: if an employee missed a punch or had to clock in later than they actually arrived). • To transfer your hours to a different pay code (PTO, jury duty, bereavement, etc. ) – Click on the “insert row” ( ) icon to the left – To transfer to a different pay code, select the “Pay Code” drop down on the new row and select the right option:
Working With Timesheets - Transfers • To transfer your hours to a different department (Extended Day, etc. ) – If you are transferring a whole day in to a different department, select the “Transfer” option between the In and Out punches and choose “Search”. Choose the correct new department in the menu that appears. – Afterward, your timesheet will appear something like this:
Same-Day Time Transfers • To transfer departments DURING THE DAY: – Enter the time transfer point in the second “In” punch column (don’t worry about the first “out” column yet) – In the second “Transfer” column, enter the new department – Replace the punch-out time in the second “Out” column – Don’t worry about the first “Out” punch – this will automatically appear when you save! – Save the changes – the first out-punch column will auto-populate with the transfer time! Adding Comments • As a manager, the process for adding comments on employee punches is very similar to adding comments on a salary timesheet format. 1. Right-click the punch you would like to comment on 3. When you are done, look for the “Comment” icon on the punch to be sure your comment went through. 2. Select “Comments”, then add your own note below
Finalizing / Approving Timesheets • Click “Save” when you are finished editing your team member’s timesheet! • If you are ready to approve a timesheet for the pay period, go on to the “Approvals” tab, and click “Approve” And you’re done! This will count as your approval of this person’s timesheet for a pay period.
Approving PTO: Introduction • PTO requests will come to you in two ways – via email and in the messages section of your ADP E-Time Inbox.
Approving PTO: Checking Requests • Check the message and take note of the date and amount of time requested. • From there, go to the Scheduling tab, and click on schedule editor
Approving PTO: Schedule Editor • Once you are on the Schedule Editor page, change the time period to include the date or dates of the request.
Approving PTO: Requests Tab Step 1: Select the Requests tab Step 2: On the Request For drop-down, select “All Requests” Step 3: Click “Reload” to load relevant requests for the selected time period.
Approving PTO: Viewing Requests • Once the request appears, right-click the row to approve or reject this request • A notice will be sent via e-mail to your employee once you have responded.
