Application & Admissions Workflow CSUMentor, Singularity, and People. Soft Upon submission of the online application (CSUMentor), the application is stored in the XAP Control Center Website waiting to be downloaded On a daily basis, applications are downloaded into People. Soft Search/Match is run where the downloaded applications are compared to existing files to prevent duplicate student records Automated processes run: Application Fee, EOP, Self-Admit (ASLF), Checklist Manual Clean-Up is performed weekly by the Admission Processing Unit Acknowledgment Letters are generated daily (within 24 hours of download) Incoming documents and transcripts are posted into People. Soft and scanned into Singularity daily (within 3 -5 days of receipt; scanning may take longer during busy periods) Admission Decisions are made daily (within 2 -6 weeks of file completion) Missing Document Letters are mailed weekly (includes list of missing items) Admission Letters are mailed daily (includes What Every Toro Needs to Know & NSO Brochure) Parent Letters are mailed daily (includes Viewbook & What Every Parent Needs to Know) Transfer Credit is posted once a student has been admitted & submitted the Intent to Enroll; including test credit (timeframe is dependent upon application date & file completion date; prior to NSO & Term Start Date

Updates of transfer credit for continuing students are processed by Admissions or Graduation Evaluators based upon the student’s term of admission. • For the Fall 2013 term, 3221 students received a transfer credit evaluations, excluding freshman applicants who had AP or college coursework. • For Fall 2012, approximately 7516 transcripts were reviewed for transfer credit. • Transfer credit is not processed for applicants until their applications have been completed and evaluated. Priority is given to the following groups: − NSO (New Student Orientation) attendees − Enrolled students − STAR Act admitted students (SB 1440)

Soft needs to be programmed for the equation. • Incoming courses are entered in to People. Soft based on information from the incoming school’s catalog including the course prefix, number, title, and units. • Transfer subject rules are created that determine how a course is utilized in the degree audit; whether to a CSUDH equivalent course, generic General Education area, or bulk transfer units.

In 2012, LBCC changed the course numbers for their Economics courses. New transfer rules had to be built for these changes In 2013, the CSUDH GE committee approved the use of the Economics 211 course to meet Area D in GE. The transfer rules in People. Soft for any incoming course articulated to Economic 211 had to be reviewed and updated as needed for all schools.

Why aren’t these changes reflected in the degree audit? − Changes to the academic requirements page are entered based on memos received from the Provost’s office. These memos detail the changes approved by the UCC. The changes are entered in to People. Soft effective for the term that the UCC has approved the changes. − If a correction needs to be made to the academic requirements in the degree audit based upon UCC approved changes, please email Brandy Mc. Frequently Asked Questions • How do I request a course substitution for a student? – Course substitutions are submitted through the ARRC (Advisors Request and Records) in People. Soft and are then sent to the graduation unit. If you would like more information or training on how to use the ARRC, contact Peter Kim (pkim@csudh. edu) in the University Advisement Center. – An approved course substitution submitted through an AARC request is entered as an exception and is only for the student that the request has been submitted. It is not added to the transfer rules as a permanent substitution. • Currently there is no articulation agreement for a course, what do I do if I want to have an articulation approved and show in the degree audit for future students ? – If the course is from a California Community College, contact Cynthia Turner (cturner@csudh. edu) regarding approving an articulation that will show in ASSIST.
