Accessible PPT Practice Slide Deck
Overview • This slide deck provides instructions for making an accessible PPT. • It also contains errors that you will fix using the instructions provided (keyboard short cuts are also provided). • The purpose of this slide deck is for you to practice using tools that improve accessibility in Power. Point.
Avoid Textboxes • This slide was made with textboxes. • Textboxes may get ignored or left out when using assistive technologies or converting your slide deck to a text outline. • Practice! • Go to the View tab. • Open Outline View. • Compare how this slide looks in outline view with other slides. See a problem? • The following slides will instruct you on how to fix it.
Slide Layout Templates • No headings in PPT – only layout templates. Practice! • Home tab (Alt + H) > Layout (L) > choose from selection • Check the layout of each slide in this deck. (When you navigate to a slide you can review the layout template used by opening the layout template menu. The layout in use will be selected. ) • Select a layout appropriate for your content: • Two content boxes for side by side content. • Comparison layout for side by side comparison – with section titles. • Picture with caption for image based slide. • Determine if it’s the appropriate layout and fix it if it is not. • If textboxes are used, pick the layout the author is trying to create, move the text into a content box and delete the empty textbox.
Slide Titles • Slide titles function like document headings. • Each slide should have a unique title. • Helps users find content they are looking for. • Use the following if the content spreads multiple slides: • Title – Part I, Title – Part II • Title – 1, Title – 2 Practice! Check the titles in this slide deck. Fix any that may cause problems.
Read Order • Check/modify read order through the Selection Pane Arrange (in Drawing group), then select Selection Pane (Alt + H, G, P) • Read from bottom to top • Can also tab through slide • Check Outline View (under the View tab) • Practice! Review and fix the read order of the slides in this deck. • Remember, in the Selection Pane the order goes from bottom to top!
Layered Graphics • Layered graphics are when images and shapes overlap in a way that creates visual meaning. • To avoid confusion and assist with a clear read order, merge these images into one and provide alt text that describes the combined image. • Select all of the elements, right-click, select save as picture. Open the new flie to confirm all of the elements are in the image. Delete the layered graphic and replace it with the new single image. Practice! There is a layered graphic in this slide deck. Fix it.
Alt Text for Images Insert image into placeholder (click into the placeholder and paste or upload your image) – note layout for this slide. Right click on image and select Format Picture (Shift + F 10 + O) or Edit Alt text. Enter alt text into description field. Practice! Check to see if the image on this slide has alt text. If it does not, add it.
Transitions & Animations • Important: Do not use timed transitions and animations. • To check for timed settings go check the Transition and Animations tabs. Make sure ”on mouse click” is selected. • To check animations settings, you’ll need to go through each slide. Transition settings may differ by slide, but can be applied to all slides. Practice! • Check this slide deck for timed animations and transitions. • If you come across any, change the timed settings to “on mouse click”.
Themes & Color • Through the Design tab (Alt + G), select your Theme (H), then in the Variants group (V), select Colors (C) – you can select another palette or develop a custom palette. Practice! Select a theme for this slide deck. Customize the colors until you find a pallet that has sufficient color contrast and appropriate font size/type.

Hyperlinks • To add a descriptive hyperlink: • Type out the descriptive text • Do not use “click here” or “link” • Select the text, right-click. • Paste the URL into the address bar. Practice! Tables • Tables should only be used for data and should include a header row. • Use the insert table function, or click on the table icon in an empty placeholder to create a new table. • Once the table is inserted, click on it, go to the Table Design tab to make sure it has a header row.
