Absence Management (AESOP) For Substitutes Revised 11/03/2020
Once you are approved as a substitute you will receive an invitation email to your personal email address. You will need to click the link in the email to create an account with Absences Management before you can view your profile or view available jobs. If you have not received an email, contact Kristie Bernier at kbernier@ncmcs. org. You can access the link to Absence Management through the MCS website by going to About us; Quick Links; Absence Management or by typing www. aesoponline. com in your browser. Create a New Account To access the new functionality associated with your application(s), you will need to create a new Frontline ID account in accordance with Frontline requirements. This new account replaces your former login credentials and allows you to collectively access all your different Frontline applications via a single username and password. Select Create a Frontline ID within the invitation email. This selection takes you to a login page where you must create new login credentials. Your new username must contain 1 alphabet character and at least 4 total characters. The password must have 1 alphabet character, 1 number or special character, and 8 total characters. Include an email address for password recovery and click Create Frontline ID once you are finished. 2
Once you have created your account, then you can log into www. aesoponline. com. Click on the Help ? Button on the top right of the screen. Within Help Resources, you can view instructions and videos to help you navigate the Absence Management portal and answer any questions that you have. Videos to watch when getting started are “How Absence Management Works” and “ Substitute Basic Training”. There is also a “Substitute Advanced Training” video and “A Phone call from AESOP” video that are helpful when getting started. 3

• To fill an absence, AESOP first uses the teacher’s preferred list and favorites, then contacts subs on the school’s preferred list and finally attempts to contact all qualified and available subs until the job is filled. • The system uses a combination of email, website and phone calls to notify substitutes of an available assignments. • Log into www. aesoponline. com to view available jobs, any jobs scheduled any past jobs. Past jobs can be helpful when comparing to your check stubs. • You can also mark any Non-Work days that you do not want to be contacted for an available job on a certain date. One logged into your account you can add a Non-Work day, for more information go to the resource center and search Non-Work day. • You cancel a job by logging into your account or calling the toll-free number. It is very important to also call the school and let them know that you need to cancel, especially if it is the day of the job. • If a teacher ask you in person to sub for them, check your scheduled jobs online and make sure that the teacher has assigned you to that job. If the job does not show up on your calendar in AESOP, check with the teacher or school bookkeeper to confirm. 5
