Failure to protect privacy can bring about risks to the individual, such as identity theft and risks to the Air Force, such as lawsuits for inappropriate disclosure that divert critical resources away from our mission. Name, social security number, date and place of birth, citizenship, mother’s maiden name, biometric records, home phone numbers, other demographic, personnel, medical, and financial information. PII includes any information that is linked or linkable to a specified individual, alone, or when combined with other personal or identifying information. Do not store PII if not needed. If PII is part of an official record, the record will be filed in ERM with the appropriate safeguards in place, or if a paper copy filed in an approved RM location and with the appropriate safeguards in place. See your URM for assistance. A. If PII is not pertinent to the record being stored, redact the PII. For example, B. If only needed temporary, delete immediately when no longer needed. C. Do not keep PII in many locations. If a document is received by email and drag and drop to an appropriate location, delete the email. It is not necessary to keep the email in an archive folder with someone else’s PII when the document has already been moved to an appropriate location. You have the right to refuse to provide your PII. A. You question the need for the PII B. The requester cannot provide an acceptable reason for collecting the PII C. No Privacy Act Statement D.
