What is a Club? • A 4 -H Club is an organized group that meets regularly with adult volunteers or staff for a long-term, progressive series of educational experiences. Types of Clubs • Community Clubs – typically local to a certain area of the county, may focus on a wide-variety of education • Project Clubs – focus on a specific subject area of interest to youth
Club Structure • Club Leader/Assistants/Adult Helpers are all screened 4 -H Volunteers • Includes at least 5 enrolled youth members from at least 3 families • Conducts a MINIMUM of 6 regular club meetings throughout 4 -H year – All activities must be communicated with the Hendricks County Extension Office • Has youth officers to provide leadership for the club – Club Officers should be elected annually • Meets in a location that is easily accessible to all participants and meets all requirements set forth by the Americans with Disabilities Act (ADA) • Provides welcoming and safe environment for all members
Club Structure Continued • Has 4 -H Charter obtained from the State 4 -H Office via the County Extension Office • Has approved 4 -H Club Constitution that has been filed as part of the 4 -H Group Tax Exemption Process • Has received an Employer Identification Number (EIN) from the IRS • Supports the community • Club funds are raised according to approved procedures and funds are handled appropriately – more on finances in December! • Meetings include a balance of business, education, and recreation incorporating experiential learning experiences
What Should a (typical) Meeting Look Like? * • Youth Officers lead the meeting • 1 -2 hours (max) • Business Meeting Portion – Pledges, minutes, reports, etc. • Program – Project talks, demonstrations, special speakers, etc. • Recreation – Games, team-building, etc. • Use simple parliamentary rules *More on this at another CLDS session!
Why are Club Leaders Important? • YOU provide support and leadership to the Club and members! • YOU are the “front lines” of 4 -H! • YOU are a great communication line to youth in our program!
Club Leader Expectations Participate Communicate • As a club – hold • To the Extension Office • Participate in 4 -H Flower Sales as a Club • To members • Participate in Leaders Meetings when possible • To families • Participate in Fair Activities • To the public • Participate in the Community • To 4 -H Youth Council and Fairboard • Can access 4 -Honline for club contact information
Club Leader Expectations Educate Demonstrate • Provide educational opportunities that foster an environment for young people to develop a sense of belonging, mastering, independence, and generosity • Life Skills (Essential Elements of Positive Youth Development) • Educate about 4 -H Opportunities for youth • Flexibility and Understanding • Inclusion • How to work together by working with your 4 -H members • Excitement • The 4 -H Motto – “To Make the Best Better”
Club Leader Expectations Financial Responsibility Follow Policies • Submit IRS Forms by May 15 th • From Purdue, Indiana 4 -H, National 4 -H, Hendricks County • Submit Club Financial Forms by designated date at the beginning of the year • Participate in club audits if necessary • Volunteer Policies • “Review of a Successful Club” • 4 -H Clover Usage
Being a Club Leader Throughout the Year August/September October • Plan meetings for the year with help of youth officers • Assist with 4 -H Open House • Confirm participation as Club Leader • Encourage enrollment/re-enrollment • Let Extension Office know of meetings/dates • Make sure club adult volunteers are screened • Attend Fall Leader Meeting • Promote meetings • Promote 4 -H • Re-enroll as a 4 -H Volunteer
Being a Club Leader Throughout the Year November/December January • Encourage Club Members to participate in 4 -H Opportunities • Handbook is released (typically)! Share updates with 4 -H members – Jr. Leaders – Trips – Scholarships – Leadership Summit • Great chance for community service projects! • Encourage new families to attend New Family Orientation • 4 -H Trip and Scholarship Applications are due! Encourage and help youth participate • Prepare Club Financial Information
Being a Club Leader Throughout the Year February March • Share upcoming events/workshops and programs • Remind families of upcoming 4 -H Events such as – i. e. Camp Counselor Application, YQCA, project workshops, etc. • Flower Information comes out – share with your club! • Submit financial paperwork • Participate in Spring Leaders Meeting • If being audited, participate in audits – Tag in – 4 -H Camp Application • Submit 4 -H Flower Sale Order
Being a Club Leader Throughout the Year April May • Project Workshops pick up speed – keep up to date on what is going on and encourage 4 -Hers to attend • Assist with 4 -H Flower Sales/Pick Up for your club • Typically a large livestock mailing comes out around this month • IRS 990 electronic paperwork due May 15! • Make sure 4 -Hers are enrolled, have animals identified, and projects selected on 4 -Honline by May 15! • Completion Cards available for pick up
Being a Club Leader Throughout the Year June July • Help 4 -Hers prepare for Fair and navigate 4 -H happenings • Attend Leaders Meeting to prepare for Fair • Help members with Fair. Entry • Remind members to be working on white cards • Sign and hand out completion cards (more on this at a later session) • Be sure your members have completed paperwork/work required to exhibit at fair • Walk new families through the check-in process and help where possible • Assist with 4 -H Project Check In if you can! • Enjoy the fair and celebrate your members’ accomplishments • Turn in White Cards of Achievement by Thursday of Fair • Attend Achievement Banquet to be recognized for a great year!
