Verifying ACCESS Training Records • DTCs may review the ACCESS training status of their STCs and TAs by clicking the green “Account Management & Training Status” tile in their WIDA Account and Secure Portal. • On the WIDA User Account Management & Training Status Lookup page, DTCs should select the “Training” tab to view completed trainings and quiz scores. • ACCESS training requirements are listed on Oklahoma’s ACCESS for ELLs Checklist. 2

Potential ELs Enrolling Within the ACCESS Window • If a new potential EL student enrolls within the WIDA testing window prior to the final ten instructional days of the window and their HLS responses indicate that they may be a potential EL, the student should be given the WIDA placement test (K W-APT, Screener or MODEL). If the student tests as EL, they should then be given the appropriate ACCESS test prior to the close of the testing window. • If the student enrolls within the final ten instructional days of the window, the district is responsible only for administering an appropriate WIDA placement test (K W-APT, Screener or MODEL). 3

Unique Situations During Testing • Page 39 of the Test Administrator Manual provides instructions on what to do when students are having an unusually difficult time. • Every attempt should be made to administer all domains, but it is allowable to discontinue a domain and attempt to administer it again. • If a domain has been attempted and discontinued twice, the TA may opt to continue to the next domain. • Students must complete the Listening and Reading domain tests before the test platform will allow them to access the Speaking and Writing domain tests. If either the Listening or Reading domain tests are discontinued, please contact OELP staff for further instructions. 6

Tips For Avoiding ACCESS Test Irregularities • Ensure that a student participating in the Alternate ACCESS for ELLs assessment has been removed from any automatically assigned ACCESS Online test sessions. • Prior to testing, ensure students have access to and are using eyeglasses, contacts, hearing aids, or any other assistive device they may need to perform their best on the ACCESS assessment. • Ensure computers are configured correctly and that students can hear the sample Listening test items before they begin the scored items. Refer to the Technology Readiness Checklist for additional assistance. 7

If the student is participating in ACCESS Online, check both their test tickets and the identifying demographic information listed on the screen after the student has logged in before they begin testing. • Closely follow the secure testing guidelines outlined in the District and School Test Coordinator Manual and the Test Administration Manual. • Do not provide students with any unauthorized prompting, clarification, or ideas for Speaking and/or Writing responses. 8

Handwriting Response (HW) test session • It is imperative that any student who will handwrite their Writing response rather than using a keyboard is placed into a Handwriting Response (HW) test session in WIDA AMS. • Before beginning any Grades 4 -12 Online ACCESS Writing test sessions, test administrators should verify on the test ticket that students are assigned to the test session in WIDA AMS that aligns with their response mode. • Please refer to page 93 of the WIDA AMS User Guide for specific instructions on moving students to a Handwriting Response test session. 9

ACCESS Testing Irregularity Report • Requests for assistance in addressing ACCESS testing irregularities must now be submitted through the ACCESS Testing Irregularity Report Google form. • A Testing Irregularity Report must be submitted if any of the following situations occur during ACCESS assessment: • • • Technology outages or network errors Unexpected interruptions (e. g. , fire alarm, student sickness, etc. ) Issues that require a new testing ticket be generated Instances of cheating Student cellphone usage Any other event that would call into question the validity of student, site, and/or districtlevel ACCESS assessment data. • Email Yuseli Freire at yuseli. freire@sde. ok. gov if an irregularity report has been submitted. 10

Text Booklet Labels • There are three types of test booklet label: Pre-ID, District/School, and Do Not Process. Only booklets with Pre-ID or District/School labels are processed. Missing labels and incomplete or inaccurate student information can result in late or missing student scores. • Pre-ID labels have individual student information in addition to school and district information. There is no need to complete the student demographic information on the front and back covers of the test booklet when using a Pre-ID label. However, the date the test was administered must still be indicated on the front cover of the test booklet. 16

If a Pre-ID label is incorrect, contact your test coordinator to update student demographic data in WIDA-AMS. When there is no Pre-ID label for a student, use a District/School label and complete the demographic information on the front and back covers of the test booklet. • Do not use another school’s District/School labels. Contact your test coordinator if you need additional District/School labels. 17

Return unused booklets without any label. • The Do Not Process label and the Do Not Score Code field on the booklet cover are not the same. A Do Not Process label will result in the booklet not being scored at all. A Do Not Score Code will result in the student receiving a score report without scores for the specific indicated domains. • Refer pages 8 -9 of the WIDA Test Administrator Manual for additional information. 18

The current expectation is that every reasonable effort be made to administer state-mandated assessments to all eligible students. If an EL student does not participate because their parent or guardian refuses to make them available for testing: • No further action is required. • Do not assign the student a Do Not Score code (e. g. , ABS, INV, or DEC) in WIDA AMS. • The student will be automatically assigned Did Not Attempt (DNA) status in the Accountability Reporting application. 27
