Budgets & Travel

CTE Budget & Purchasing Procedures • Requisitions & Purchase Orders • Daily Mileage Reimbursement • Travel • P-cards

A Purchase Order MUST be in place before any order can be processed.

Requisitions / Purchase Order Requests • A requisition request must be submitted for each supply request. • A quote from the vendor should be included with requisition requests. • No quote needed from Office Depot. • Any orders submitted to a vendor without having a PO in place may result in items being returned or cancellation of order.

�Receiving orders • When your order arrives, please open the packages and verify the items received. Initial & date all packing slips! • Send packing slips, original receipts and delivery tickets to Cheryl Jones in the CTE office within (3) days of receiving your order. ✔Receipts should be taped to an 8 ½ x 11 piece of paper before sending; this is for scanning purposes.

Daily Mileage Reimbursement • Daily mileage is due by the 10 th of each month. • The most current mileage form is available on the District website, under Accounts Payable Dept. tab. • Email your mileage form to Cheryl Jones. • If you have routes other than a campus, include a Google Map of route(s).

P-card • If you have a p-card, Ms. Cheryl Jones will be reaching out to you via e-mail. • To reserve a CTE Department P-CARD, please email Ms. Cheryl Jones

Employee Travel • Currently No Outside Houston Travel • Travel requests should be submitted at least one month in advance. • Email requests to your program coordinator. • Travel expenses are reimbursement only.

Student Travel • Currently No Physical Student Travel • Virtual Fieldtrips available w/ travel funds • Travel requests should be submitted at least one month in advance. • Email Haley Jones for: • ALL student travel requests w/ CTE $$$ • Reservations for the CTSO Suburban

Certifications – IMPORTANT DATES May 1, 2021 – All CTE Dept testing must be scheduled by this date (Certiport /Pearson. Vue) May 21, 2021 – All Certs Due for the 2020 -21 Cycle: (certs after the 15 th go on the 2021 -2022 cycle) May 18 - 29, 2021 – NO CTE Dept Testing (Certiport /Pearson. Vue) June 14 - 30, 2021 – Reimbursement “DEAD ZONE” (No reimbursement testing during this time. All test prior to the 15 th MUST be submitted by the 15 th to be eligible for reimbursement. )
