Indirect Procurement Example 1 The maintenance manager purchases various shop supplies regularly for the warehouse. Since he orders the same items every time, he wants to configure a new non-stocked product for each item he buys. Instead the controller has decided to create categories for the items. The maintenance manager will generate and confirm a purchase order using the categories each time he orders supplies. 55 © 2017 RSM US LLP. All Rights Reserved.

Indirect Procurement Example 2 The office manager at Contoso orders office supplies which also includes office machines, office furniture, cleaning supplies, and visitor gifts. These items should be posted to different GL accounts and financial dimensions. To make sure these items are posted to the correct GL accounts, Ken, the Controller, has created categories for each type of office supply purchase. 56 © 2017 RSM US LLP. All Rights Reserved.

Indirect Procurement Example 3 Contoso outsources all outside facility maintenance. This includes landscaping, building maintenance, parking lot maintenance, fencing repairs, and tree preservation. These items should post to different GL accounts. Invoice entry for these vendors has been inefficient and time consuming because the vendors were not being sent PO’s. The controller has instructed purchasing to create PO’s for the outside facility vendors using the new categories he created for this group of vendors. 57 © 2017 RSM US LLP. All Rights Reserved.

Indirect Procurement Example 4 Contoso uses a staffing agency during peak season to supplement their workforce throughout the organization including: Fabrication, Packaging, Shipping, Finance, Purchasing, and HR. Charges for temporaries must be charged to the correct labor and department account in the GL. To ensure correct entry of the staffing agency invoices, the Controller has created new categories to be used for purchase orders sent to the staffing agency. 58 © 2017 RSM US LLP.
