2 Permit verification • The first step in conducting a documentary inspection is to verify some general information, by answering checking the following: – Language – Original – Changes
3 Permit verification • Is the document written in English, French or Spanish? • If not, does it include a complete translation into one of these languages? If not: contact your Management Authority
4 Permit verification • Is it an original document? • If not, does Box 5 indicate that a photocopy is permitted? If not: contact your Management Authority
5 Permit verification • Have any of the entries been erased or changed? • If they have, have these been authenticated by the seal and signature of the authority issuing the document? If not: contact your Management Authority
6 Permit verification • What must appear: – CITES logo and name – Type of permit (only one) – Permit number – Validity
7 Permit verification • What must appear: – Name and complete address of the importer (3) – Name of the country of import, in full (3 a) – Name and complete address of the exporter (4)
8 Permit verification 0177966 • What must appear: – Reference to transport conditions, and other special conditions (5) – Full name and address of the Management Authority (6) – Code for the purpose of the transaction (5 a) – Security stamp number (if used) (5 b)
9 For live animals, this permit or certificate is only valid if the transport conditions conform to the CITES Guidelines for transport or, in the case of air transport, to The IATA Live Animals Regulations. Resolution Conf. 10. 21

11 Permit verification • What must appear: – Scientific name of the species (7/8), description (9), Appendix and source code (10) Quantity 11 a) and quota data (11 b) – Re-exports: country, permit no and date(s) (12, 12 a) – Registered operation (if applicable (12 b) – Unused boxes cancelled?
12 Permit verification • Usually, when you check the information in boxes 7 to 11, you also carry out a physical inspection of the shipment, to verify: – The identity and description of the specimens – The quantities – The source (if possible)
13 Permit verification • If you have doubt about the identity of the specimens, and you have not the adequate information to make an accurate identification? – Contact the Mangement or Scientific Authority and/or detain the shipment
14 Permit verification • CONSEQUENTLY!!!! – Customs or other inspection authorities must have: • Telephone numbers, or at least one contactnumber • For seizuers of live specimens: – Temporary holding adresses, or – A list of designated holding centres Seizures always occur at an awkward moment
15 Permit verification • Place of MA is included? • Date of issuance; compare with validity • Security stamp (if used compare number in box 5 b) • Signature and seal (cancelling security stamp? )
16 Permit verification • For export – Complete the boxes A-B as appropriate and cancel the unused ones – Complete remaining information (including Bill of Lading number as appropriate) • Keep the relevant copy to return to your Management Authority
17 Permit verification • For import – Check the boxes A-B as appropriate – Check the Bill of Lading (as appropriate) – Validate the original and the copies • return original to your Management Authority
