PROCESS TO LOAD KG ASSESSMENT DATA TEA will receive LEAlevel KG assessment files directly from each assessment vendor LEA will select when to load the assessment files into the ODS using the ‘Load Assessments’ button in the ECDS application LEA will verify their ECDS KG assessment data loaded into the ODS (via e. DM) and contact their vendor if they have any data errors NOTE: The assessment vendors may need to provide TEA with subsequent assessment files if data corrections are identified by the LEA or vendor. VERIFYING KG ASSESSMENT DATA LOADED INTO ODS q q q The assessment files will be immediately queued for ODS processing. LEAs will need to verify their ECDS KG assessment files loaded. If any errors are identified, LEA needs to contact assessment vendor(s). If vendor cannot resolve the issue, enter a TIMS ticket. LEA NOT ADMINISTERING COMMISSIONER APPROVED KG ASSESSMENT q KG programs that are not administering an assessment from the Commissioner’s List of Approved Kindergarten Assessment Instruments do not need to submit any demographic or assessment data. q LEAs need to fill out this form when using an alternate assessment for KG. q The LEA is responsible for retaining assessment data should TEA decide to collect it at a later date. TEAL ROLES FOR CORE COLLECTIONS (LEA) Core LEA Data Viewer This role cannot edit data. This role can monitor data promotions and data validations and generate reports. Core LEA Data Promoter This role initiates the promotion which will move the data from the ODS. This role can schedule and monitor promotions, schedule and monitor validations, and generate reports. Core Data Completer This role formally certifies the completeness and accuracy of their data and submits it to TEA. In addition this role can also schedule and monitor promotions, schedule and monitor validations, and generate reports. Core Data Approver This role will be for the Superintendent or his/her designee at the LEA. This role requests an extension if needed. Individuals requesting Core Roles for ECDS access will check the privilege for “ECDS Access” for the requested TEAL Core Roles. ECDS FAQ #1 Q 1. Upon the LEAs clicking on the ‘Load Assessments’ button to load the Assessment files to the ODS, could there be the possibility of batch errors? How should LEA handle if batch errors. A. ODS batch errors can still occur after LEAs click on the ‘Load Assessments’ button in the ECDS application. As they did in the 2019 -2020 school year, LEAs will need to verify that their ECDS KG assessment data loaded successfully into the ODS. K and kindergarten Commissioner-approved In this example, the ‘Home-Room-Indicator’ is reported incorrectly since it assessment was administered. has all course sections marked as the home room. In this example, the ‘Home-Room-Indicator’ is reported correctly since it has only one course section with a Home Room Indicator of ‘True’, the other course sections are marked as ‘False”. K days the student was in class is calculated by counting all days in each of the Student Section Association records starting with the Begin date to the End date. This includes weekends and non-instructional days, and holidays. A student must have 112 High Quality pre. K days in the student section, for a particular PK school type, to be counted on the total student enrollment for the ECD 0 -003 Pre. RESOLVING UID ISSUES WITH ECDS ASSESSMENT VENDORS q LEAs are responsible for providing correct UIDs (Unique State Ids) to assessment vendors: q q ECDS assessment vendors can request the UID 0 -005 report from an LEA which provides a listing of all enrollment events for each student who has enrolled in the reporting LEA/campus during a given school year: q Enroll/Withdraw Type – Type of event: q 01 – Enrollment 02 – Withdrawal In addition to providing student enrollment/withdrawal dates, the UID-000 -005 report includes Unique ID, Local ID, and Student ID information. q ECDS assessment vendors can utilize the report to compare and troubleshoot UID information in their own system.
